This configuration was written for myself, for keeping records of equipment and other property in the organization in which I work. The main task of the configuration is to have an idea of ​​where, what equipment is located, how many times it has been repaired, how old the computer is, and whether it needs modernization, where, what monitors, whether there is a need to purchase additional duplicating equipment, accounting for cartridges and consumables. materials, as well as accounting for the consumed paper. Accounting for applications for the purchase of equipment. And the added functionality with helpdesk greatly facilitated the work of our entire IT department. Of course, I tried the application systems: OTRS and Redmine, but it is much easier for our employees to call or write to the corporate chat than to leave a request in the browser. I want to warn you right away that everything stated below is not the best practice read in books, but an extract of my, sometimes not always successful, experience. Therefore, I will gratefully accept constructive criticism.


So, let's begin. Why does IT need to keep its computer hardware records? After all, all computer equipment is recorded in the accounts of the organization and the data on the equipment is already in the accounting system. Why then distract technical specialists from software development / system administration / equipment repair and load them with “accounting” work?
The fact is that the data collected in the accounting system will not save you from problems, for example, during a virus attack.


"Infect the computer in corporate network, raise privileges, get access to the administrator's domain and stop the activity of a company of any size with one button "- described the specifics of the work WannaCry virus its author.


To stop this weasel at least you need to know the location of infected computers... The accounting system will indicate the pantry in which the computer is listed and the user (but this is not accurate). You will not know the actual location of the computer and its IP address.


The more time it takes to find out which cubicle the infected machine is in, the lower the chances of stopping the spread of the virus and the degradation of infrastructure. As you understand, financial and reputational losses from stopping business processes will be an order of magnitude higher than the cost of keeping records of IT equipment. However, wannacry is still a flower. There is a more serious threat ...


Remember the old joke that winter always comes to Russia unexpectedly, so utilities do not have time to prepare for it? There is a similar problem with the preparation of the budget for the next year - everyone seems to know about the timing, but for some reason applications for replacement of equipment are submitted at the very last moment. And the last one is usually the IT specialist responsible for the distribution of equipment - he did not foresee, did not take appropriate measures, did not show persistence, etc. etc. If virus attack can bypass you, then collisions due to the inopportunely allocated technique will definitely fly into your head.


But there is a way out: stop collecting applications for the replacement of equipment. Start keeping track of the parameters by which the equipment should be included in the modernization program(for example, HDD capacity, monitor diagonal, printer print speed, etc.). In this case, you will be able to generate lists of replacement equipment automatically from your accounting system. No applications - no problem.


How else will a well-established IT equipment accounting system help? The fact that you can give an answer to any, even the most tricky question of the management in 5-15 minutes, and not in "tomorrow in the morning". For example, the CFO asks: "How many printers do we have in the closet, how many are under repair, how many users have, how many have been disposed of this year, in which departments of the printer are they idle?"... If you consider the stages of the life cycle of IT equipment, then you will answer all (!) these questions within 15 minutes... Otherwise, you will have to collect data from different sources within 2-3 hours (if not more).


I suppose we have sorted out the question “why do we need our own accounting of IT equipment”. This is the lesser of evils compared to having only scattered accounting data and raw SCCM reports.


Let's now design such an IT equipment accounting system that will help solve the above problems. We will need:

  1. define the boundaries of the accounting system;
  2. develop a directory of equipment categories;
  3. develop a life cycle model;
  4. decide on the rules for identifying equipment;
  5. develop an attribute model.

Step 1. Determine the boundaries of the accounting system

You should not scatter your efforts and try to establish accounting at once and everywhere. Review the incident / problem data and find the "bottleneck", i.e. the equipment groups that give you the most trouble. Start setting up accounting in these particular groups.


In my experience, computers and office equipment are more likely to get stuck in the bottleneck. Less often, components and consumables (as a rule, there is enough inventory data for them).

Step 2. Develop a directory of equipment categories

To make it easier to generate reports, each group of equipment must be divided into categories... For example, you decide to set up accounting for user equipment. We take the "computers" group. What categories will it consist of? Personal Computer, laptop, tablet, etc. Then we take the next group - "display devices" and divide it into categories. As a result, you will have something like this category directory:



Thanks to this division, you can quickly make selections from the database and receive reports both for the "computers" group and for each of the categories of this group.

Step 3. Develop an equipment life cycle model

In order to quickly receive information about the status of the equipment, it is necessary to develop the so-called. " equipment life cycle model».


I advise you to start with a simple model and refine it as needed:

In my experience, the fastest way to improve the efficiency of your IT inventory system is to start tracking lifecycle statuses. Don't neglect this step!

Step 4. Determine the method of equipment identification

Since you will have to deal with the search and inventory of equipment, you need to determine in advance how you will identify the found equipment. I know five ways to identify:

Manufacturer's serial numbers. The SN and barcode label applied during the manufacture of the equipment is used. Barcode label. The equipment is labeled with a wear-resistant identification number and barcode. Low costs for marking equipment and consumables. Reduction of labor costs for updating data and accounting for equipment movement. I did not reveal any obvious shortcomings.
RFID tag. A radio tag is applied to the equipment. High cost of equipment and consumables. Inability to identify equipment without using an RFID scanner.
Barcode + RFID. A radio tag is applied to the equipment with a printed barcode and registration number Significant reduction in labor costs for inventorying and recording the movement of large quantities of equipment. High cost of equipment and consumables.

Step 5. Develop an attribute model

Now let's get down to the most important thing - the development of the attribute model. My list of recommended attributes for accounting, with an indication of what they are for, is given below. Use it as a starting point when designing your attribute model.

  • Common name of the manufacturer and model of equipment... Please note that manufacturer and model names may be distorted on consignment notes. Try to write down exactly common names so that technical information about the model was easier to find on the manufacturer's website.
  • Item number, under which the equipment model is entered in the directory of materials of the accounting system. It should be taken into account for a quick search of the same type of equipment.
  • Inventory number assigned to the equipment upon registration. It should be taken into account when searching for equipment in the accounting database. Please note that according to accounting rules, the inventory number may be the same for several devices (for example, a PC, monitor and printer as part of a laboratory installation). In addition, the inventory number must be assigned only to fixed assets, i.e. equipment worth more than 40,000 rubles (for more details see PBU 5/01, PBU 6/01). Therefore, the vast majority of computer equipment in your organization may not have an inventory number. A complex-compound number can be used instead, for example<номер кладовой>/<количество этой номенклатуры на учете в кладовой>.
  • Registration number assigned by the IT department when accepting equipment for service. In many organizations, it is more convenient for IT to assign hardware IDs than to use inventory numbers.
  • Serial number assigned by the equipment manufacturer. It should be taken into account in case of warranty repair and as a spare identifier if it is impossible to determine the inventory / item / registration number of the equipment.
  • Building postal address, building name or number(if there are several buildings at the same address), room number(or the name of the site and the building lines of the building, if it is a production facility). Such a set of requisites will help you find equipment, no matter where it is located.
  • Department in which the user works, name and phone number of the user... The user's contacts are needed to get physical access to the equipment. The department will be useful for you for groupings in reports and for contacting the manager if the user is unavailable. It is also useful to know the personnel number and ... the date of the user's dismissal. It is convenient to build consolidated reports by the personnel number if you need to see what other goods and materials are registered with the employee. The termination date will help identify orphan equipment.
    There was a funny incident in my practice. In a small factory, the head of one of the divisions spent several weeks trying to get him a more productive computer. There was no budget for equipment, so we decided to look for idle equipment in the divisions. Two days of searching and a more powerful computer were found ... in the office of this chief, at the next table. The computer remained after the employee was fired. The petitioner did not know that this was a more productive machine. And the IT service was not warned about the termination of the user of this computer.
  • Technical Attributes, according to which you can make a decision on the modernization of equipment. For example, such:

At first glance, there are too many attributes and it will take the staff a lot of time to keep the accounting system up to date. Let's check if this is so.


Depending on the interface of the accounting system, the initial registration of each device will take 5-10 minutes, and it will take 1-2 minutes to update the data. Suppose you have 350 users in your organization, 1000 devices for accounting. 20% of the fleet of equipment is replaced per year (based on the service life of 5 years), 10% of the fleet is being repaired and modernized. This means that every year you will need:

  • add 200 new records to the system (200x10 = 2000 minutes);
  • update the statuses of 200 new devices twice (200x2x2 = 800 minutes);
  • update the status twice for 200 decommissioned devices (200x2x2 = 800 minutes);
  • update the statuses of 100 devices that have been repaired twice (100x2x2 = 400 minutes).

In total, you will spend 4,000 minutes per year. Let's throw in another 10% for unforeseen movements. We get 4,400 minutes a year, or 17 minutes a day. I believe that this is quite acceptable labor costs for keeping up to date the accounting system for 1,000 units of equipment.


In addition, they can be reduced to 10-12 minutes: take technical attributes from SCCM, user data from the personnel system. But these are issues of architecture, I plan to cover them in the second part of the article.
